PAPERWORK TO START CHAPTER

1. Letter of intent
   1. already on Twiki page and ready for executive committee approval
   2. must be signed by the chair and academic adviser
   3. chair will sign the approved letter, obtain the adviser signature, and submit letter to the vice chair mailbox
2. Proposed chapter by-laws
   1. already on Twiki page and ready for executive committee approval
   2. so far there are two changes to be approved
      1. requiring us to send out general meeting information 1 week before meetings as opposed to 2 weeks
      2. requiring us to send out the annual business meeting information 2 weeks beforehand instead of 4 weeks
      3. designated officer needs to send an email out asking about the 'revision number' field and what we put there [Angela Klink angela2@avs.org, AVS Member Services Administrator]
      4. designated officer fills in revision number field (contact chair and vice chair if issues), prints out by-laws and submits to vice chair mailbox
         
3. Member roster
   1. this is in the printed out manual
   2. we need a minimum of 8 members to sign the form
   3. designated office will keep roster in their office for members to sign and then that officer will submit the completed roster to the vice chair mailbox
4. Membership rebate form
   1. this is in the printed out manual
   2. chair will completed and submit to the vice chair mailbox
5. Officer listing form
   1. this is in the printed out manual
   2. we need officers and the academic advisor to sign this
   3. the chair will obtain academic advisor signature and submit completed form to the vice chair mailbox
6. Main student chapter application form
   1. this is in the printed out manual
   2. must be filled out and signed by officers and signed by the academic adviser and department chair
   3. chair is waiting for response regarding dean/college contact signature
7. Letter of proof of student status for student members
   1. already on Twiki page and ready for executive committee approval
   2. members will individually download, print out, and submit form to vice chair mailbox

Our academic advisor needs to be an existing full AVS member, and they will get their next year's membership for free (meaning average $55 per year membership fee for two years)

1) Would Men Jin be willing to be our academic advisor and become a full member?

2) Is there an engineering faculty member who is already a full member and willing to be our advisor?

3) Is there a physics faculty member who is willing to become a full member to be our advisor?

Dr. Jin He already accepted the nomination of advorship of our Chapter!

Now we got full enrollment of designed members in the Chapter.

DECEMBER EVENT

Will someone contact career services to ask about guest speaker for group of graduate physics students? (topics: resume/ cv difference and format)

PUBLICITY

Will the Chair of the publicity request to submit a contribution to the AVS Newsletter after we become an official new chapter (appropriate contact information in the student chapter manual)
